When you create a mailbox, INO cx generates a unique&nbsp;<strong>alias<\/strong>&nbsp;(for example&nbsp;<code>abc123@yourdomain.ino.cx<\/code>). You must then configure a forwarding rule in your email provider so that messages sent to your real email address are redirected to this alias \u2014 this is how emails reach the INO cx platform.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Once configured, mailboxes can be linked to one or more&nbsp;<strong>distribution queues<\/strong>. Each queue has a&nbsp;<strong>default mailbox<\/strong>&nbsp;used as the sender address for outgoing emails from that queue.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Limit:<\/strong>&nbsp;up to 50 mailboxes per organisation.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"prerequisites\">1. Prerequisites<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Before creating a mailbox, make sure the following elements are in place:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Email domain configured<\/strong>&nbsp;\u2014 at least one email domain must be set up in your INO cx platform. This is the domain that will appear after the&nbsp;<code>@<\/code>&nbsp;in your mailbox address. <em>Note: Email adress domains are configured in the <a href=\"https:\/\/help.ino.cx\/index.php\/help-center\/client-account-settings\/#7-security\" data-type=\"link\" data-id=\"https:\/\/help.ino.cx\/index.php\/help-center\/client-account-settings\/#7-security\" target=\"_blank\" rel=\"noreferrer noopener nofollow\">client account settings<\/a>.<\/em><\/li>\n\n\n\n<li><strong>Smart routing (optional)<\/strong>&nbsp;\u2014 if you plan to route incoming emails through a smart routing flow, create the smart routing beforehand so it is available for selection during mailbox creation.<\/li>\n\n\n\n<li><strong>Access to your email provider<\/strong>&nbsp;\u2014 you will need admin access to your email provider (Google Workspace, Microsoft 365, etc.) to configure the forwarding rule that redirects emails to the INO cx alias.<\/li>\n\n\n\n<li><strong>Distribution queue (optional)<\/strong>&nbsp;\u2014 if you want agents to handle emails, have at least one distribution queue ready to link to the mailbox.<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"accessing\">2. Affects the language of automated messages and logs.<\/td><\/tr><tr><td><strong>Routing<\/strong><\/td><td>Only&nbsp;<em>Smart Routing<\/em>&nbsp;is available. Incoming emails are processed by a smart routing flow before being distributed.<\/td><\/tr><tr><td><strong>Smart Routing<\/strong><\/td><td>The email smart routing to apply to incoming messages. Can be set to &#8220;None&#8221; (no routing).<\/td><\/tr><tr><td><strong>Smart Routing version<\/strong><\/td><td>Whether the selected smart routing runs in&nbsp;<em>Production<\/em>&nbsp;(live version) or&nbsp;<em>Test<\/em>&nbsp;mode (draft version). Only displayed when a smart routing is selected.<\/td><\/tr><tr><td><strong>End Smart Routing<\/strong><\/td><td>Optional. A smart routing triggered at the end of an email interaction (post-processing flow).<\/td><\/tr><tr><td><strong>End Smart Routing version<\/strong><\/td><td><em>Production<\/em>&nbsp;or&nbsp;<em>Test<\/em>&nbsp;mode for the end smart routing.<\/td><\/tr><\/tbody><\/table><\/figure>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"redirect\">4. Setting up the email redirect (alias)<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">After creating a mailbox, you must configure a forwarding rule in your email provider so that messages sent to your real address are delivered to the INO cx platform.&nbsp;<strong>Without this step, the mailbox will not receive any emails.<\/strong><\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Open the mailbox you just created and locate the&nbsp;<strong>alias<\/strong>&nbsp;displayed in the detail view (for example&nbsp;<code>abc123@yourdomain.ino.cx<\/code>). You can also access it via the info button labelled&nbsp;<strong>&#8220;Configure your mailbox in INO cx&#8221;<\/strong>.<\/li>\n\n\n\n<li>Copy the alias to your clipboard.<\/li>\n\n\n\n<li>Sign in to your email provider&#8217;s admin console (Google Workspace, Microsoft 365, or other).<\/li>\n\n\n\n<li>Set up a&nbsp;<strong>forwarding rule or redirect<\/strong>&nbsp;from your real email address (e.g.&nbsp;<code>support@mycompany.com<\/code>) to the INO cx alias you copied.<\/li>\n\n\n\n<li>Save the rule and send a test email to your real address to confirm it reaches INO CX.<\/li>\n<\/ol>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Important:<\/strong>&nbsp;the redirect must remain active at all times. If it is removed or breaks, INO cx will stop receiving emails for that mailbox.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Tip:<\/strong>&nbsp;the exact steps to configure email forwarding vary depending on your provider. Refer to your provider&#8217;s documentation for detailed instructions (Google Workspace: Routing settings; Microsoft 365: Mail flow rules).<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"link-queue\">5. Linking a mailbox to a distribution queue<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">To have agents handle incoming emails, you need to link the mailbox to at least one distribution queue.<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Go to&nbsp;<strong>Maker &gt; Queues<\/strong><\/li>\n\n\n\n<li>Open the queue you want to associate with the mailbox<\/li>\n\n\n\n<li>In the queue&#8217;s mailbox configuration section, add the mailbox<\/li>\n\n\n\n<li>Save the queue<\/li>\n<\/ol>\n\n\n\n<figure class=\"wp-block-image aligncenter size-large\"><img loading=\"lazy\" decoding=\"async\" width=\"1024\" height=\"294\" src=\"https:\/\/help.ino.cx\/wp-content\/uploads\/2026\/04\/Capture-decran-2026-04-30-a-15.14.24-1024x294.png\" alt=\"\" class=\"wp-image-6419\" srcset=\"https:\/\/help.ino.cx\/wp-content\/uploads\/2026\/04\/Capture-decran-2026-04-30-a-15.14.24-1024x294.png 1024w, https:\/\/help.ino.cx\/wp-content\/uploads\/2026\/04\/Capture-decran-2026-04-30-a-15.14.24-300x86.png 300w, https:\/\/help.ino.cx\/wp-content\/uploads\/2026\/04\/Capture-decran-2026-04-30-a-15.14.24-768x221.png 768w, https:\/\/help.ino.cx\/wp-content\/uploads\/2026\/04\/Capture-decran-2026-04-30-a-15.14.24-50x14.png 50w, https:\/\/help.ino.cx\/wp-content\/uploads\/2026\/04\/Capture-decran-2026-04-30-a-15.14.24-1536x441.png 1536w, https:\/\/help.ino.cx\/wp-content\/uploads\/2026\/04\/Capture-decran-2026-04-30-a-15.14.24-2048x588.png 2048w, https:\/\/help.ino.cx\/wp-content\/uploads\/2026\/04\/Capture-decran-2026-04-30-a-15.14.24-60x17.png 60w, https:\/\/help.ino.cx\/wp-content\/uploads\/2026\/04\/Capture-decran-2026-04-30-a-15.14.24-100x29.png 100w\" sizes=\"auto, (max-width: 1024px) 100vw, 1024px\" \/><\/figure>\n\n\n\n<p class=\"wp-block-paragraph\">Keep in mind the following rules:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>A mailbox can be linked to&nbsp;<strong>multiple<\/strong>&nbsp;distribution queues.<\/li>\n\n\n\n<li>A distribution queue can have&nbsp;<strong>up to 20 mailboxes<\/strong>.<\/li>\n\n\n\n<li>Each queue must have exactly&nbsp;<strong>one default mailbox<\/strong>&nbsp;(see next section).<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"default\">6. Setting the default mailbox on a queue<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Each distribution queue has a&nbsp;<strong>default mailbox<\/strong>. This is the sender address used for outgoing emails sent from that queue. When you link the first mailbox to a queue, it is automatically set as the default.<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Open the distribution queue in&nbsp;<strong>Maker &gt; Distribution queues<\/strong><\/li>\n\n\n\n<li>In the mailbox section, identify the mailbox you want to set as default<\/li>\n\n\n\n<li>Click the option to&nbsp;<strong>set as default<\/strong>&nbsp;(or toggle the default indicator)<\/li>\n\n\n\n<li>Save the queue<\/li>\n<\/ol>\n\n\n\n<figure class=\"wp-block-image aligncenter size-large\"><img loading=\"lazy\" decoding=\"async\" width=\"1024\" height=\"130\" src=\"https:\/\/help.ino.cx\/wp-content\/uploads\/2026\/04\/Capture-decran-2026-04-30-a-15.16.23-1024x130.png\" alt=\"\" class=\"wp-image-6420\" srcset=\"https:\/\/help.ino.cx\/wp-content\/uploads\/2026\/04\/Capture-decran-2026-04-30-a-15.16.23-1024x130.png 1024w, https:\/\/help.ino.cx\/wp-content\/uploads\/2026\/04\/Capture-decran-2026-04-30-a-15.16.23-300x38.png 300w, https:\/\/help.ino.cx\/wp-content\/uploads\/2026\/04\/Capture-decran-2026-04-30-a-15.16.23-768x97.png 768w, https:\/\/help.ino.cx\/wp-content\/uploads\/2026\/04\/Capture-decran-2026-04-30-a-15.16.23-50x6.png 50w, https:\/\/help.ino.cx\/wp-content\/uploads\/2026\/04\/Capture-decran-2026-04-30-a-15.16.23-1536x194.png 1536w, https:\/\/help.ino.cx\/wp-content\/uploads\/2026\/04\/Capture-decran-2026-04-30-a-15.16.23-2048x259.png 2048w, https:\/\/help.ino.cx\/wp-content\/uploads\/2026\/04\/Capture-decran-2026-04-30-a-15.16.23-60x8.png 60w, https:\/\/help.ino.cx\/wp-content\/uploads\/2026\/04\/Capture-decran-2026-04-30-a-15.16.23-100x13.png 100w\" sizes=\"auto, (max-width: 1024px) 100vw, 1024px\" \/><\/figure>\n\n\n\n<p class=\"wp-block-paragraph\">You can change the default mailbox at any time. However, you cannot deactivate a mailbox that is currently set as the default on a queue \u2014 you must first assign a different default mailbox to that queue.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"managing\">7. Managing mailboxes<\/h2>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"edit\">7.1. Edit<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">From the mailboxes list, open the mailbox you want to edit. You can modify any of its configurable fields (display name, timezone, language, smart routing, etc.), then click&nbsp;<strong>Save<\/strong>. The alias does not change when you edit a mailbox.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"activate\">7.2. Activate \/ Deactivate<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">You can deactivate a mailbox to temporarily stop it from receiving emails without deleting it. Deactivated mailboxes can be reactivated at any time.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Note:<\/strong>&nbsp;you cannot deactivate a mailbox that is currently set as the default mailbox on a distribution queue. To deactivate it, first assign a different default mailbox to every queue where it is used.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"delete\">7.3. Delete<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Deleting a mailbox permanently removes it from your organisation. Make sure the mailbox is no longer linked to any distribution queue and is not set as a default before deleting it.
