Knowledge base & document center – Set them up

Overview

The document center and knowledge base give users access to different types of information and documents to support them in their day-to-day work. They are both tools for mutualising information.

You will be able to include document center in the knowledge base.

Document center

The Document Center is where you can import all your documents.
To do it, go to the Maker, Media module, Document Center sub-module.

Here you’ll find a list of documents that have been imported. You can use the search bar to look for a document.
Click on “Add” to add either a document or a folder.
Note that a document can be either public or private. If it is public, this adds 2 possibilities for the user (preview the document and obtain a URL). Status can be changed at any time.

Note: Each document must be less than 35 MB. Also, please respect the document formats accepted by the application.


In the list, on a folder, you will have several possible actions:

  • enter the folder by clicking on the arrow
  • delete the folder by clicking on the trash can (if the folder is not being used, otherwise the trash can will be grayed out and you will not be able to delete the folder until all the items have been removed).
  • use the pencil to change the folder name or reference
  • use the cogwheel to duplicate, move, view history, view dependencies and manage accesses


In the list, on a document, there are the same possibilities, but also :

  • download the document
  • open in a new tab (if public document)
  • copy URL (if public document)

To have full rights, your role must of course allow you to modify, create, delete and download. If this is not the case, it can be modified in the Maker, User module, Role sub-module.

Knowledge base

The knowledge base works in a similar way, with a more advanced structuring of the information.

Go to the Maker, Toolbox module, Knowledge base sub-module.

Here you can add knowledge base items, in which you can integrate in the 5 tabs:

  • main information
  • voice
  • email
  • messages
  • documents you’ve already added to the document center (public or private).

Giving access

Access to the document center and knowledge base are granted in the profile.

To set rights, go to the Maker, users module, profile submodule, configuration tab.
For both the document center and the knowledge base, you can choose here to give users with this active profile access to the entire database. You also can revoke access to specific folders, documents or items.

How to give access to the entire knowledge base through the profile: (same process for the document center)

How to revoke access to a folder, or files through the profile:

Note: even if you delete access to an item in a profile, you can restore access to it directly in the knowledge base or document center.

To add more specific access rights, simply go directly to the knowledge base (or document center) and add a profile (or many profiles) in the rights to access the items.

Grant and remove access to an item of the knowledge base to one or many profiles:
